What our website and Discord service use, and the choices you have.

Our responsibility.

The sole trader operating PokeRadarUK is responsible for decisions about personal information processed by our own bot and service. Discord, Cloudflare and, when subscriptions open, Buy Me a Coffee also handle information for their own services. Their privacy notices explain their processing; they do not replace this notice.

Existing Discord members can ask the server owner or an Admin privately about their information.

A simple website.

This website has no account login, payment form, advertising pixels or visitor analytics scripts. Our pages do not set cookies or use browser local storage. There are no embedded Discord or payment widgets. Following an external link takes you to a separate service with its own privacy and cookie arrangements.

Cloudflare hosts and protects the website. Delivering pages involves technical information such as your IP address, requested URL, browser information and request times. Cloudflare may process request and security information under its service arrangements; see Cloudflare's privacy policy. We are confirming the relevant logging, retention and processing arrangements.

Where we process technical information to operate and secure the site, our intended lawful basis is legitimate interests in providing a reliable service and preventing abuse. If tracking or optional cookies are introduced, this notice and any required choices will be updated before they are used.

Information used by PokéScout.

When you join or use our Discord service, our bot records information received from Discord and your interactions with it. This includes:

  • Your Discord user ID and display name, first known joining date, membership presence and observed VIP role status.
  • VIP access grants, their source and dates, gifts and offer claims, recognition awards and relevant membership history.
  • Your saved retailer notification preferences and stock-lookup usage used to apply the free allowance.
  • Where applicable, giveaway entries, eligible-member snapshots, winners and replacements, and the related request and delivery records.
  • Information you provide when asking for support, plus relevant administrative actions and reasons recorded to resolve account issues.

These records let us provide access, apply preferences and allowances, honour offers and recognition, administer announced giveaways and resolve disputes or repeated requests. An active VIP member can be included automatically in an eligible giveaway under its published rules. Each eligible person has one entry; winners are announced in Discord. Draws use a random selection, not a profile of your interests or spending.

For information necessary to supply membership features you request, the intended lawful basis is performance of a contract. Service administration, abuse prevention, offer eligibility and fair giveaway records may rely on legitimate interests. Legal obligations apply where records must be kept by law. We will complete and document the purpose-by-purpose assessment as this notice is finalised.

Without a Discord ID we cannot link your account to its access or preferences. Information you choose to post in public channels is visible to people with access to those channels. Private account replies are shown to you; authorised account-support staff can access service records. Do not post sensitive account or payment information publicly.

You can review your VIP access and recorded history privately with /account, and manage notifications with /alerts. These settings control service alerts; they are not consent to unrelated promotional messages.

Payments are not open yet.

We plan to use Buy Me a Coffee for subscriptions. You will provide payment details through its platform, not this website. See its privacy policy before subscribing.

We will need enough membership and transaction information to link paid access with Discord, manage renewals and cancellations and deal with refunds. The exact fields and integration are still being finalised; this section will be updated before paid sign-ups open. We do not ask you to send full card details through Discord.

Who can see information?

Discord provides the community and bot platform; Cloudflare provides the public website. Members see information published in channels they can access, including announced giveaway winners. The server owner and authorised Admins can access private member-support records. Service hosting and backups also involve the infrastructure used to run PokéScout; provider details are being confirmed.

Buy Me a Coffee will process subscription information when billing opens. Information may also need to be disclosed where required by law or necessary to deal with a legal claim. Retailer links take you to the retailer; they do not send your private bot membership history.

Providers may process information outside the UK. We are confirming the locations, provider roles and any applicable UK transfer safeguards. Provider privacy notices give further information, but we have not yet completed the transfer details for our own service in this notice.

Leaving does not erase account history.

The current bot keeps membership, offer, recognition and giveaway history after a member leaves or VIP access expires. Preferences also survive expiry or rejoining. This supports access reconciliation, prevents duplicate claims and preserves the original giveaway result.

There is currently no automatic deletion schedule for these durable records. The retention schedule, support-record handling and backup expiry arrangements are being finalised. This does not remove your right to request deletion; any request needs to be assessed against the applicable legal grounds for keeping particular information.

Leaving Discord does not stop a future Buy Me a Coffee subscription. See membership cancellation for how to stop renewal separately.

Your choices and rights.

Depending on the circumstances, UK data protection law gives you rights to access your personal information, correct it, request deletion, restrict processing, receive certain information in a portable form and object to processing based on legitimate interests. You can withdraw consent where processing relies on it. Not every right applies to every record.

Existing members can ask the owner or an Admin privately to make a request or raise a privacy complaint. Explain what you need and provide enough information to identify your account; we may need proportionate verification. Do not put your request or identity documents in a public support thread.

Rights requests are normally answered within one month, subject to the legal rules on verification, clarification and extensions. Privacy complaints will be acknowledged within 30 days and investigated without undue delay, with updates and an explanation of the outcome.

You can also complain to the Information Commissioner's Office (ICO). This does not depend on keeping a Discord account.

We will update the date above when this notice changes and explain material changes through appropriate service notices.
